Eturnity E-Sign Setup and Usage Guide

Learn how to use Eturnity E-Sign, the built-in electronic signature solution in Eturnity Expert. This guide covers activation, credit management, sending documents for signature, and troubleshooting.

What is Eturnity E-Sign?

Eturnity E-Sign is a built-in electronic signature solution that allows you to send documents directly to your customers for digital signing without needing an external e-signature service account.

How It Works

Eturnity E-Sign operates on a credit-based system. Each time you send a document for signature, one credit is consumed per signer. For example:

  • Sending a document to one signer: 1 credit
  • Sending a document to two signers: 2 credits

Every new Eturnity Expert company receives 10 free credits to try out the service. When you run out of credits, you can purchase additional credits directly from Eturnity based on your company's needs.

Prerequisites and Requirements

User Permissions

To activate and manage credit balance, you must have Company Admin permissions in Eturnity Expert. Standard users can send documents via Eturnity E-Sign once it's activated, but cannot view or manage credit settings.

PDF Compatibility

All standard Eturnity PDFs are already e-signature ready and include the necessary signature fields. 

Exception for Highly Customized PDFs: If your company uses heavily customized PDFs that were created outside of Eturnity's standard customization process, contact support@eturnity.com to verify e-signature compatibility.

Activating Eturnity E-Sign

Eturnity E-Sign is pre-activated for all Eturnity Expert companies with 10 free credits. No setup or configuration is required - you can start using it immediately.

Checking Your Credit Balance

To view your current credit balance and settings:

  1. Log in to Eturnity Expert as a Company Admin user
  2. Navigate to Settings > Electronic Signature
  3. Select Eturnity E-Sign from the e-signature service dropdown
  4. Your available credit count is displayed in the Available Credits field

Note: The system automatically displays a warning when your credit balance falls to 10 or fewer credits, giving you time to order more before running out.

Sending Documents for Electronic Signature

Once Eturnity E-Sign is active, any project user can send documents for signature directly from the File Manager.

How to Send a Document

  1. Open your project in Eturnity Expert
  2. Navigate to Project > Documents > File Manager
  3. Locate the PDF document you want to send for signature
  4. Click the Send via E-Signature option for the document
  5. Enter the customer's first name, last name, and email address
  6. Optional: Add a second signer if needed (Note: this consumes an additional credit)
  7. Click Send

The customer will receive an email with a link to view and sign the document online.

Understanding Document States

Documents sent via electronic signature display a status in the File Manager that updates in real-time as the customer interacts with the document.

Document Status Definitions

  • Sent: The document was sent via the e-signature service. The customer has not yet opened or taken any action
  • Delivered: The customer has opened and reviewed the document but has not completed signing
  • Completed: The customer has successfully signed the document. The signed PDF is automatically saved back to your project
  • Voided: The document sending was cancelled by the project manager or company admin
  • Declined: The customer actively declined the offer and refused to sign the document

Credit Management

Monitoring Your Credits

You can check your credit balance at any time by navigating to Settings > Electronic Signature and selecting Eturnity E-Sign. The available credit count is displayed prominently.

When your balance drops to 10 credits or fewer, a warning banner appears in the Electronic Signature settings and when sending documents. The system will prevent sending when you have 0 credits remaining.

Purchasing Additional Credits

When you need more credits, contact support@eturnity.com with a request for additional E-Sign credits. Eturnity Customer Success will contact you with pricing options based on your Expert license size. After purchase confirmation, credits are added to your account.

Note: Credit pricing is typically based on volume discounts - larger credit packages offer better per-credit rates.

Configuration Options

After activating Eturnity E-Sign, you can customize certain aspects of how electronic signature emails are sent.

Email Language

The language of the email sent to your customer is automatically determined by the Correspondence Language setting in your Eturnity project. You cannot set a different email language than the project language.

To change the email language:

  1. Open your project in Eturnity Expert
  2. Navigate to Project Settings
  3. Change the Correspondence Language to your desired language

Note: The correspondence language is independent from your user interface language. Changing your personal user language does not affect the email language sent to customers.

Troubleshooting Common Issues

E-Signature Send Option Not Visible in File Manager

Problem: The option to send a document via electronic signature does not appear in the File Manager for a specific PDF.

Cause: The PDF does not contain a signature page or signature field. Electronic signature can only be used with documents that have been configured with signable fields.

Solution:

  1. Review your PDF template to verify it includes a signature page
  2. If the signature page is missing, regenerate the document using a PDF template that includes signature fields
  3. If you're unsure whether your PDF templates are e-signature ready, contact support@eturnity.com for verification

Out of Credits

Problem: You cannot send documents because your credit balance is zero.

Solution: Contact support@eturnity.com to request additional credits.

Billing and Costs

Eturnity E-Sign operates on a credit-based system. You purchase credits from Eturnity based on your Expert license size. Each document sent consumes one credit per signer. Pricing is available from Customer Success by contacting support@eturnity.com.
